Connecting Registration, Information Collection, and On-Site Check-In

Project Background

The event team had managed registrations through WeChat groups, online spreadsheets, and manually maintained lists. Inconsistent formats created extensive checking work shortly before each event.

Participants needed clear event and submission requirements, while the delivery team needed consistent registration data before the event and the same records for on-site verification. The process had to avoid entering identical information more than once.

Design and Implementation

The Mini Program combines event information, registration forms, document submission, registration status, attendee-list management, and on-site verification in one flow, with administration and data export included.

Participants move from the event description to the registration form, submission status, and verification record. Each page emphasizes the current action and shows what has already been submitted and what still needs attention.

The administrative side follows the event team’s attendee-list workflow and supports reviewing and exporting registration data. On-site checks use the records created during registration, keeping preparation and event execution on the same information base.

Final Presentation

Registration data follows one format from submission through list export and on-site verification.

Participants and the event team can complete later steps around the same record, and the Mini Program provides a reusable foundation for recurring events.
